Schedule
Schedule is your team’s calendar of working hours and days off. You set the days and times you usually work and add your time off, and everyone sees them in their own local time. Org owners and admins add the organization’s holidays. Your status follows your schedule too, so colleagues can see when you’re away.
Open it from Schedule in the sidebar on a computer, or in the bottom bar on a phone.
Note: Schedule is about people’s availability. It has no meetings or events, and it doesn’t connect to other calendars. For the dates of work items and sprints, see Projects.
Find your way around#
- Day, Week and Month switch the view. On a phone, and in a narrow window, they’re in the View menu. Phones open on the day, wider screens on the week.
- Previous, Next and Today move through the calendar.
- Select a day in the month view, or a date at the top of the week view, to open that day.
- Select an entry to see its details: whose it is and the times. If you can change it, Edit and Delete are there.
- Refresh fetches the latest changes. You rarely need it: changes from others show up by themselves.
Everything shows in your own time zone. If a colleague works 9:00 to 17:00 in New York and you’re in Berlin, their block shows from 15:00 to 23:00, and its details show their own times and zone too.
The panel#
Beside the calendar on a wide screen, or from the button at the top on a narrower one (People, my hours and time off), the panel has:
- People: show or hide each person on the calendar, Everyone or Only me.
- My working hours and My time off, with Edit and Delete in each row’s More menu.
- Holidays: the organization’s days off coming up.
Set your working hours#
- Select Add (the + button), then Working hours. Or select Add working hours in the panel.
- Pick the Days, then the Start and End time.
- Check the Time zone. It starts as your device’s zone. The times are in this zone, and everyone sees them in their own local time.
- Starting is the first day these hours apply. Set Until (optional) if they stop on a date, or leave it at No end.
- Add a Note (optional), such as “Fridays from home”, and select Save.
You can add more than one block, for example a morning and an afternoon with a break between, or different hours on different days.
Tip: For an overnight shift, add two blocks: one until midnight and one from midnight. A block’s end must be after its start.
The first time you save working hours, the app asks Pause notifications outside working hours? Select Turn on and your notifications pause by themselves outside your hours and on your time off, and calls don’t ring you then. You can change it later in Settings → Notifications with Follow my working hours.
Add time off#
- Select Add, then Time off. Or select Add time off in the panel.
- Give it a Name, such as “Vacation”.
- Pick the First day and Last day, and select Save.
Time off covers whole days. Your working hours don’t show on those days, and your status shows you’re out of office.
Organization holidays#
Org owners and admins add days off for everyone: select Add, then Organization holiday, give it a name and its days, and select Save. Everyone in the organization sees it, and nobody’s working hours show on that day.
Who sees what#
- Members see everyone’s working hours, time off and the organization’s holidays.
- Guests see only their own hours and time off, and the organization’s holidays.
- You can change only your own hours and time off. Org owners and admins change the organization’s holidays, but not other people’s hours.
Your schedule and your status#
When your availability is Automatic, buildIt.social uses your schedule:
- Outside your working hours you show as Away, with when you’re back, such as “Back at 9:00 AM”.
- On your time off and on the organization’s holidays you show as Out of office, with the day you’re back, such as “Back on Mon, Oct 12, 2026”.
To set your status, see your settings.
Offline#
You can add and change your hours and time off without a connection. A change shows at once, marked as pending, and is sent when you’re back online. If the server doesn’t accept it, the app tells you why. See Working offline.
