Views, filters and saved views
A project shows the same items in several ways. Every view has a view bar at the top to filter, group and sort what it shows, and you can save a view to come back to it.
The view bar#
The view bar has:
- Filter by text: type to narrow the items by words in their key, title or description. Press
/on a computer to jump there. - Filter: opens the filters. A badge shows how many are set.
- Group, Sort and Columns, where the view has them. The Board has Swimlanes in place of grouping.
- Views: your saved views and the project’s.
- Import and export: CSV files. See CSV import and export.
On narrow windows and phones, grouping, sorting, columns and views move into one View options menu.
Filters#
The Filter items dialog has chips for the common filters:
- Status category and Status.
- Assignee, including Me and Unassigned.
- Priority, Type and Labels.
- Due date: Overdue, Next 7 days or Next 30 days.
- Sprint: Active sprint, No sprint or a sprint; Fix version: No fix version or a release.
- Items I watch.
Select Apply to filter, or Clear all to start again. For custom fields, any date range and filters across projects, use the search in the Work hub.
Sorting#
Sort offers Manual order (the order the team set by dragging), Priority, Due date, Assignee, Type, Sprint, Fix version, Last updated, Created, Key and Title. The Table also sorts by status, start date, estimate and most custom fields. Sprint and Fix version appear when the project uses sprints and releases.
- Type follows the order of the project’s types, Assignee sorts by name, Sprint by the sprint’s number, and Fix version by the release’s target date, then its name. Option fields sort by their option names.
- Pick the current sort field again to reverse the order.
- Sorting gives the same order offline as online.
Grouping#
Group splits a view into sections by Status, Assignee, Priority, Type, Sprint or Fix version, and, in the Table, by the project’s single-option and single-member custom fields. Choose No grouping for one long list.
Saved views#
A saved view keeps a view’s text, filters, grouping, sort and columns.
- Set up the view the way you want it.
- Open Views and choose Save view….
- Give it a Name. Turn on Share with the project to let everyone in the channel use it; leave it off to keep it for yourself.
- Select Save.
The Views menu lists your saved views and the ones shared with you. For a view of your own, you can Update it with the current settings, Rename or share it, or Delete it. Reset view goes back to the view’s defaults. Saving, updating and deleting views need a connection. Guests can save views for themselves, but can’t share them.
To save a view across every project for the whole organization, use the Work hub’s search.
The List#
The List shows a project’s items in rows, grouped by status unless you choose otherwise. It’s a tab in projects without sprints; projects with sprints have the Backlog in its place.
- Change status, Assign, Set priority and Edit title are in each row’s menu (Item actions), and on a computer through the keys
S,AandE. - Drag a row up or down to change the order (with a connection), or into another group to change that value, such as its status.
- On phones, rows are cards: tap one to open it, or press and hold to drag it.
- Columns chooses what each row shows, such as the estimate, due date, GitHub state, comments and assignee.
When your device doesn’t hold every item, Show items not on this device at the end of the List fetches the rest from the server.
The Table#
The Table is a spreadsheet of the project’s items, with every field as a column you can show or hide in Columns, custom fields included. The key and title stay in view as you scroll sideways. Subtasks sit right under their parent.
- Sort: select a column’s header to sort by it, and again to reverse.
- Edit in place: tap a cell to change it, on phones too. Changes work offline.
- Bulk edit (computer and web): tick the rows to change (
Shift-click for a range, the header’s box for all, or a group heading’s box for that group), then select Edit and pick the field: status, assignee, priority, dates, estimate, sprint, fix version, labels (add or remove) or a custom field. To change the status of several items at once, they must follow the same workflow. Bulk edit needs a connection. - Export CSV: the rows shown, with Visible columns or All fields.
The Calendar#
The Calendar puts the project’s items on their due dates, with sprints and releases as bands across their days. It’s on when the project has the calendar turned on, as every template does.
- Month and Week, with Previous, Next and Today. Phones show the month.
- Calendar view switches between Start to due date (items with both dates span them) and Due dates only. Ops/IT projects start with due dates only.
- Show on the calendar shows or hides Sprints and Releases.
- Dates follow the project’s time zone. When it differs from yours, the calendar names it.
- Overdue items show in red, and done items are struck through.
Change dates#
- Drag an item to another day to change its due date (computer and web). In Start to due date, moving an item moves both dates, and dragging either end changes just that date.
- Unscheduled lists the open items with no due date. Drag one onto a day to give it that due date (computer, web and tablets), or use Set due date on its row (every device, phones included).
- On a computer or the web, tap an empty spot on a day to create an item due that day. On phones, tap a day to see its items.
Date changes work offline and are sent when you’re back online. Guests can’t change dates.
