Members and invites

For org owners and admins

buildIt.social is invite-only: people join an org when an owner or admin invites them. Settings → Members & invites is where you do that, and where you manage the people already in the org.

Everyone in the org can open this page to see the members, each with their status dot, email address and role, and search them with Search members. Guests see names and pictures, never email addresses. For org owners and admins, the page has two tabs, Members and Invites, and an Invite people button at the top of both.

Invite people#

  1. Open Settings → Members & invites and select Invite people.
  2. Enter their Email address. Each invite is for one person.
  3. Pick a Role:
    • Member: can join public channels, create channels and chat.
    • Guest: only sees the channels they’re added to, and no email addresses.
    • Admin: can invite people and manage members.
  4. Choose how long the Link works for: 1 hour, 1 day, 7 days (the default), 14 days or 30 days.
  5. Choose the Language of the invite email. It starts as the language your app is in.
  6. Select Send invite.

They get an email with a link. Opening it, they create an account, or sign in with the one they have, and join the org. See Joining from your invite.

An invite can’t make someone an owner. To add an owner, an owner chooses Make owner on an existing member (below).

Guest places#

An org can have at most 6 guests for each member who isn’t a guest, and at least 10, counting pending guest invites. With Guest picked, the invite dialog shows how many places are taken, such as “Guest places taken: 11 of 12, counting pending invites.” To make room, remove a guest or add members.

Seats#

If your org has a set number of seats, the invite dialog and the top of the member list show how many are taken, such as “4 of 5 seats”. Owners, admins, members and open invites for them each take a seat; guests don’t. When every seat is taken, you can still invite guests. To free a seat, revoke an open invite or remove someone.

Manage invites#

The Invites tab lists Pending and Expired invites, each with its role, when it expires and who sent it.

  • Resend (or Send a new link on an expired one) emails a new link. The link sent before stops working. You can pick the email’s language again.
  • Revoke stops the link from working. You can invite them again later.
  • Refresh reads the list again.

Invites for owners, which buildIt.social sends when it creates an org, have no Resend, and only owners can revoke them.

Change a member’s role#

On the Members tab, open a member’s menu (Manage with their name) and choose Make admin, Make member, Make guest or, for owners only, Make owner. The change applies at once.

  • Admins can change anyone’s role except an owner’s.
  • Only owners make someone an owner, or change or remove another owner.
  • An org always keeps at least one owner.
  • Nobody can change their own role.

What each role can do is in Roles and guests.

Remove someone from the org#

Choose Remove from organization in their menu and confirm with Remove. They lose access to the org right away. Their messages stay, under their name, and the org’s copy on their devices is deleted.

Removed people are listed under Removed at the end of the member list. Restore access brings them back with their previous role. Sending a new invite brings them back too, with the invite’s role.

To take someone out of one channel only, use the channel’s details instead. See Managing channels.
